How to collect
post-visit customer feedback

Published 4 September 2026 · 7 min read

The most useful customer feedback is collected right after the visit, while the memory is sharp and the emotion is honest. Done well, it tells you what to fix before the same complaint reaches Google. Done poorly, it either annoys customers or distorts your reputation.

1. Ask while the experience is still fresh

Feedback quality drops quickly. Wait a week and customers remember outcomes, not friction. Wait a month and they remember almost nothing at all.

The practical window is 30 minutes to 24 hours after completion. That is long enough for the customer to notice a billing error or a follow-up issue, and short enough that the emotional signal is still strong. KundPulse uses a configurable Smart Delay to land the request in that exact window without manual timing.

2. Choose the channel your customer actually uses

The best channel is the one the customer will open. For most service businesses, that is SMS. For B2B or longer relationships, email is often better. Walk-in businesses can add a QR code at checkout, but only as a convenience, not a replacement for a direct invitation.

  • SMS: highest open rates; ideal for salons, clinics, automotive shops, and restaurants.
  • Email: better for detailed feedback, B2B, and high-consideration services like legal or healthcare.
  • QR / tablet: works at the point of sale, but make sure it still reaches every customer — not just the ones who look happiest.

3. Keep the request short, personal, and unconditional

A good post-visit request contains four things and nothing else: the customer name, a one-sentence reason the feedback matters, a single action link, and an honest alternative for anyone who was not satisfied.

The alternative is not a filter. Both paths — public review and private recovery — must be equally visible and available to every customer. That is how you stay inside Google's review policies and get data you can actually trust.

4. Give every customer two equal paths

Happy customers should be able to leave a Google review in one tap. Unhappy customers should be able to reach management directly before they vent in public. This is the dual-track recovery model behind every compliant feedback system.

KundPulse invites every customer the same way, then lets them choose. There is no survey that silently redirects unhappy respondents away from Google, no hidden button, and no staff member pre-screening the room.

Protect your Google profile with zero-gating review management

Send every customer the same neutral invitation and route unhappy feedback to private recovery — without ever blocking a Google review.

5. Turn feedback into an operations feed

A single complaint about a long wait is anecdotal. Ten complaints about a long wait is a staffing problem. The value of post-visit feedback is in grouping it by theme and tracking recurrence.

Every time you act on a theme, measure whether the same complaint keeps coming back. If it does, the fix missed the root cause. KundPulse tags feedback automatically by operational theme and compares recurrence before and after each initiative, so you can prove the business actually improved.

6. Automate the loop without losing the human signal

Automation should handle timing, routing, and reminders. It should not write fake warmth or hide unhappy customers. The goal is to remove friction for the customer, not to manufacture sentiment.

KundPulse connects to booking and transaction events, sends the invitation after a configurable delay, routes happy customers straight to Google, alerts managers the moment private feedback arrives, and groups responses into recurring themes. For multi-location businesses, each location gets its own routing and review link.

7. Quick-start checklist

  • Set the trigger to the moment a visit or transaction is genuinely complete.
  • Use a 30-minute to 24-hour Smart Delay so the request lands at peak recall.
  • Send the same neutral invitation to every customer, every time.
  • Offer one public review path and one private recovery path with equal visibility.
  • Tag themes, track recurrence, and close the operational loop before the next review cycle.

How KundPulse automates post-visit feedback

KundPulse triggers neutral SMS and email invitations from your booking or POS events, gives every customer a free choice between a direct Google review and a private recovery message, and turns the result into themed operational intelligence with tracked recurrence. No gating, no incentives, no manual chasing.
