Reviews, feedback and
customer experience
Field-tested guidance for multi-location service businesses that want more Google reviews without ever screening or filtering a single customer.
What these playbooks cover
Every guide here is written for the people who actually run service businesses with more than one address: dental and healthcare clinics, salons and beauty studios, restaurants, law firms, veterinary practices, automotive workshops, HVAC teams and real estate offices. Instead of generic marketing theory, each playbook walks through the operational detail that decides whether a customer leaves a review at all: who asks, when they ask, what the message says, and what happens when the feedback is critical rather than glowing.
The playbooks share one non-negotiable principle. Nobody is filtered, screened or held back from Google. Every customer sees the same open path to your Google Business Profile, whether their visit went perfectly or badly. Unhappy customers are additionally offered a private channel so your team can put things right, but that channel is never a substitute for the public one. This keeps you inside Google Business Profile policy and consumer-protection rules while still growing review volume steadily.
You will also find the reporting side: how to read sentiment across branches, how to spot a recurring problem such as wait times or billing confusion before it shows up in your star average, and how to turn a month of raw feedback into two or three changes the team can actually make.
How to use these playbooks
Most teams get the fastest result by working through them in this order rather than reading everything at once.
1. Fix the ask before anything else
Start with the request itself: the timing after the visit, the channel, the sender name your customer recognises, and the wording. A clear, well-timed ask usually lifts response rates more than any other single change.
2. Build the recovery path for critical feedback
Decide who reads negative feedback, how quickly they respond, and what they are allowed to offer. The public Google path stays open throughout; the private channel exists so the underlying problem gets solved.
3. Read the patterns and change one thing per month
Once feedback flows in consistently, group it by operational theme and compare branches. Pick the single theme with the widest impact, change the process, then check next month whether the comments moved.

What KundPulse does
KundPulse is the review and feedback engine behind these playbooks. It sends the post-visit request by email under your own business name, keeps the path to your Google Business Profile completely open for every customer, and routes critical feedback to a private channel your team can act on the same day.
On top of that it gathers every Google review into one inbox, drafts empathetic replies your team can edit and publish, and groups comments by operational theme so you can see whether wait times, billing or staffing is driving your ratings across each branch.
See how the workflow fits together on the review management overview, or compare plans and location limits on the pricing page.
Terms you will meet in these playbooks
Review management has picked up a lot of vocabulary, some of it deliberately vague. These are the terms used across the guides, in the sense we mean them.
- Review gating
- Asking customers how satisfied they are and then showing the public review link only to the happy ones. It breaches Google Business Profile policy and European consumer-protection rules, and it is absent from everything described here.
- Post-visit window
- The period after an appointment or job in which a customer still remembers the detail well enough to write something specific. For most service businesses it runs from a couple of hours to about three days, and the right point inside it differs between planned work and emergency work.
- Recovery path
- The private route a dissatisfied customer can use to reach a manager directly, so the underlying problem gets fixed. It runs alongside the public review link, never instead of it.
- Review velocity
- New public reviews per month at a single location. Prospective customers and local search both react to it more strongly than to a lifetime star average, which is why a steady flow beats an occasional burst.
- Operational theme
- A recurring subject in customer comments — wait times, billing clarity, staff handovers, cleanliness — used to group feedback so improvement work targets a cause rather than an individual complaint.
